What are the booking formats and group sizes?

We offer three flexible booking formats:

Solo (1 player — ₹800): Register individually. Our arcade staff will pair you with a teammate after booking.

Team (2 players — ₹1,600): Register with a partner to compete together as a two-player squad.

Group (4, 6, 8, 10, or 12 players — ₹3,200 to ₹9,600): Register larger even-numbered groups. Players are formed into two-player teams in entry order (Players 1–2, 3–4, 5–6, etc.).

How much does it cost and how is the total calculated?

Participation is priced at exactly ₹800 per player across all formats. The total is calculated automatically based on your roster count: Solo is ₹800, a Team of 2 is ₹1,600, and Groups range from ₹3,200 (4 players) to ₹9,600 (12 players). One single payment covers the entire booking with no hidden checkout fees.

How does two-player team formation and solo pairing work?

All tournament matches are played in teams of exactly two players. For Team registrations, both registered players form one squad. For Groups, teams of two are assigned sequentially in participant-entry order. If you register Solo, you do not need to bring a teammate — our arcade staff will pair you with a compatible solo player before match day.

What are the age requirements for participants?

Player 1 (Primary Player & Booking Contact): Must be 18 years or older for all bookings, including Solo.

Additional Players: Must be 13 years or older. Guardian authorisation is required whenever any registered participant is under 18.

How does guardian authorisation work for minors?

When any participant under 18 is added to your roster, the booking system requires the primary player to confirm that informed parental or guardian consent has been obtained. A parent or guardian may also be required to accompany the participant or sign an on-site safety acknowledgment on match day.

How do registration and payment confirmation work?

Once you fill in your roster and accept the booking terms, select Continue to payment. Payment is handled securely via Razorpay (UPI). A registration is confirmed only after payment is independently verified by our server, producing a unique booking reference (e.g. RIG-XXXXXX) displayed on your confirmation screen.

What should I do if money is debited but confirmation is not visible?

Do not pay again immediately. If your UPI app shows a successful debit but your browser was interrupted, click Check payment status or reopen the registration page in the same browser. If your booking shows pending review, your booking reference is safely logged. Please contact our support team with your transaction details and booking reference so we can verify and confirm your spot manually.

When and where will schedule and venue details be communicated?

Specific match schedules, reporting times, and venue arrival directions are shared with the primary player via phone/WhatsApp after booking registration closes. This ensures optimal matchmaking, bracket generation, and dedicated arena time for all squads.

Do I need prior VR experience, and what should I wear?

No prior VR experience is needed! Every session includes a hands-on pre-game briefing covering headset fit, motion controls, and safety protocols. Please wear comfortable clothes suitable for active movement and closed-toe flat shoes (sneakers recommended). Glasses can generally be accommodated inside modern VR headsets.

What are the cancellation and refund terms?

Registrations can be rescheduled or refunded in accordance with our refund policy if requested within the approved notice window before your assigned session. If a subsequently proposed event schedule cannot accommodate your squad, a full refund or credit will be arranged by arcade staff. Refer to our Refund Policy modal for full specifics.

When you register for a tournament, we collect the following personal information: full name, age, gender (optional), and mobile phone number for each participant.

Why We Collect It

Your data is used solely for the purpose of managing tournament registrations, communicating event details (schedule, venue, updates), processing payments through our payment provider (Razorpay), and ensuring participant safety on the day.

How We Store It

All personal data is stored securely and is only accessible to The Rig VR Arcade team. We do not sell, share, or disclose your personal information to third parties except as required to process your payment or as mandated by law.

Retention

Registration data is retained for a reasonable period after the event for operational and legal purposes, after which it is securely deleted.

Your Rights

You may request access to, correction of, or deletion of your personal data at any time by contacting us.

Booking Terms

Registration & Payment

All registrations must be completed through this website and paid for in full at the time of booking. Registration is only confirmed upon successful payment.

Participant Requirements

  • All participants must be at least 18 years of age, or have guardian authorisation if under 18.
  • Participants must be physically capable of standing and moving freely for the duration of the session.
  • The person registering is responsible for the accuracy of all participant information provided.

Event Details

Specific schedule and venue details will be communicated to registered participants after the booking window closes. The Rig VR Arcade reserves the right to modify event timing and venue with reasonable notice.

Conduct

Participants are expected to follow all safety instructions and conduct themselves appropriately. The Rig VR Arcade reserves the right to remove any participant who behaves unsafely or disruptively, without refund.

Liability

Participants engage in the VR experience at their own risk. The Rig VR Arcade is not liable for injuries arising from failure to follow safety instructions.

Refund Policy

Cancellation by Participant

If you need to cancel your registration, please contact us as early as possible. Refund eligibility depends on when the cancellation is requested relative to the event date.

Cancellation by The Rig VR Arcade

If The Rig VR Arcade cancels or significantly reschedules an event, all affected participants will receive a full refund.

No-Show

Registered participants who do not attend the event without prior notice are not eligible for a refund.

Processing

Approved refunds will be processed to the original payment method within 5–10 business days.

Guardian Requirements

Age Policy

The recommended minimum age for participation is 18 years. Participants under 18 may be permitted with explicit guardian authorisation.

If you are registering a participant under 18 years of age, you must confirm that a parent or legal guardian has provided informed consent for their participation.

Responsibilities

  • The registering adult assumes full responsibility for all underage participants in their booking.
  • Guardians must ensure the participant is physically and mentally prepared for the VR experience.
  • The Rig VR Arcade may request proof of guardian consent at check-in.

On-Site

A guardian or the registering adult may be required to be present at the venue during the experience for participants under 18.
